Tips for Perfect Scans

  1. Use Good Lighting

Natural light or bright room light works best. Avoid shadows falling across the document. Don't use flash—it creates glare and uneven lighting.

  2. Contrast Your Background

Place white documents on dark surfaces (or vice versa). This helps apps detect edges automatically.

  3. Keep Document Flat

Smooth out wrinkles and folds. For books, press pages flat or use book scanning mode in apps.

  4. Shoot Straight Down

Position your phone directly above and parallel to the document. Most apps correct for angle, but starting straight gives best results.

  5. Fill the Frame

Get close enough that the document fills most of the screen. More pixels = sharper text.

Scanning Different Document Types

Receipts

  • Scan immediately—thermal receipts fade over time
  • Use high contrast/black & white mode
  • Apps like Expensify scan and extract amounts automatically

Business Cards

  • Adobe Scan and Microsoft Lens extract contact info
  • Save directly to Contacts
  • CamScanner has dedicated business card mode

Whiteboards

  • Microsoft Lens has excellent whiteboard enhancement
  • Removes glare and enhances contrast
  • Straightens perspective automatically

Multi-Page Documents

  • Use batch mode—scan all pages, then save as single PDF
  • Reorder pages before saving
  • Most apps let you add pages to existing scans later

💡 Enable OCR

OCR (Optical Character Recognition) makes scanned text searchable and copyable. Adobe Scan and Microsoft Lens do this automatically. Essential for documents you'll need to search later.

Organizing Scanned Documents

  • Name files descriptively: "2025-01-15_Tax_Receipt_Office_Supplies.pdf"
  • Use cloud storage: Sync to Google Drive, iCloud, or Dropbox
  • Create folders: Receipts, Medical, Tax Documents, Warranties
  • Use tags: Some apps support tags for easy filtering

Conclusion

Your phone is now your scanner. Built-in options (Notes on iPhone, Drive on Android) work great for quick scans. For frequent scanning, Adobe Scan or Microsoft Lens add OCR and better organization. Good lighting and flat documents are the secrets to professional results.
